This Privacy Policy explains how Zoe Ophelia Holdings LLC, doing business as Weddings in the Methow ("WITM", "we", "us") collects, uses and shares information when you use weddingsinthemethow.com, the planning and partner portal at portal.weddingsinthemethow.com, the gift registry, the Wedding Shop and Shop Local (together, the "Services").

Information we collect

  • Contact and inquiry forms: name, email, phone, wedding date, guest count, venue, budget and anything you write in a message. To block spam we also record your IP address and simple form-timing signals.
  • Portal accounts (couples, vendor partners, local makers, admins): name, email, a hashed password (we never store your password itself), your role, and the details you add to your planner or profile, such as wedding details, events, vendors, budgets, payments, availability and notes.
  • Gift registry: the couple's registry items and the sharing settings they choose. Guests who join a registry give a name, email and password and may leave a plans note, and we record which gifts they claim or mark as bought.
  • Registry access requests and maker applications: names, email, phone, wedding date, business details, website/social links, bio and product photos.
  • Payments: date-hold deposits and Shop Local purchases are processed by Stripe. Stripe collects your card details. We never see or store full card numbers. We receive the payment status, amount, your name and email, and shipping details where they're needed. Makers give us payout and tax details (such as a W-9) privately, and the portal doesn't store full bank account numbers.
  • Push notifications: if you turn on alerts in the portal app, your browser gives us a push subscription (an endpoint and keys) so we can send you notifications. You can turn alerts off in the portal or in your browser settings at any time.
  • Click logs: when you click a registry, Wedding Shop or affiliate link, we log the item, the time and (for registries) the couple and guest, so we can count clicks and keep registries accurate.
  • Sign-in and security data: session cookies that keep you signed in, sign-in attempts (email, IP address and time) to stop password guessing, and an audit log of administrative actions.
  • Consent records: when you create an account or apply, we record the time and the version of these policies you agreed to.

How we use information

We use information to provide wedding planning, coordination, catering and registry services; to run your account and send you notifications you've turned on; to process payments and pay makers; to answer inquiries; to prevent spam, fraud and abuse; to improve the Services; and to meet legal, tax and accounting obligations. We do not sell your personal information. We do not use third-party advertising trackers on this site.

How we share information

  • Service providers that run the Services for us: Cloudflare (hosting, database and security), Stripe (payments), browser push services (notifications) and Google (email).
  • Within your wedding: couples can see their registry guests' names, claims and notes. If you're a couple, we share the details needed for your event with the vendors you book or that we refer you to. Vendor partners see the referrals and events that involve them. Makers see the order details they need to make and deliver your item.
  • Retailers: when you follow an Amazon, Target or other retailer link, you leave our site, and that retailer's own privacy policy applies to what you do there.
  • Legal reasons: when the law requires it, or to protect rights, safety and property.

Affiliate disclosure

As an Amazon Associate, Weddings in the Methow earns from qualifying purchases. Some links on our site and in registries are affiliate links (for example Amazon, and Target through Impact), which means we may earn a commission at no extra cost to you. Amazon and other retailers may use cookies to track the referral. See our Terms of Use.

Cookies

We use only the cookies needed to keep you signed in (portal and registry guest sessions) and to protect forms. Retailers you visit through our links may set their own cookies.

Retention and security

We keep information for as long as your account is active or as long as we need it for the purposes above, including tax and accounting records. Spam-check data and sign-in attempt logs are kept only briefly. We use reasonable safeguards, such as HTTPS, hashed passwords and role-based access, but no system is perfectly secure.

Your choices

You can update most of your information in the portal. To get a copy of your information, correct it or have it deleted, email [email protected]. We may need to keep some records, such as payment and tax records, where the law requires it.

Sources of information

We collect information directly from you; from your partner or wedding party (for example, a couple adding guests or a guest list); from vendors and makers working on your event; from Stripe (payment confirmations); and automatically from your device when you use the Services (IP address, browser type, pages requested, and timestamps in server and security logs).

Guest and third-party information

Couples may add information about other people, such as guests' names, emails, phone numbers, meal choices, dietary needs and lodging. If you add someone else's information, you confirm that you have the right to share it with us for wedding planning. Dietary or accessibility notes are used only to plan your event, and you should only add what is needed.

Communications

We send emails about your inquiries, account, orders and planning. We send marketing emails only if you opt in, and you can unsubscribe at any time. Push notifications are opt-in and controlled from the portal's Alerts page or your device settings.

Do Not Track and Global Privacy Control

We do not sell or share personal information for cross-context behavioral advertising, so we have no tracking to switch off in response to these signals.

Your rights by state

Depending on where you live, you may have the right to know, access, correct, delete or get a copy of your personal information, and to appeal our decision about a request. To make a request, email [email protected]. We will verify your request using the email on your account, and we will not discriminate against you for exercising your rights. You may use an authorized agent where the law allows.

Data breaches

If a security incident affects your personal information, we will notify you and the authorities as required by law, including RCW 19.255.

Where data is processed

We are based in the United States, and our providers process data in the United States and other countries where they operate.

Children

The Services are for adults. We do not knowingly collect information from children under 13.

Changes

If we update this policy, we'll change the version and date above. Where the changes are material, we may ask you to agree again.
